Using the North Carolina Information
Highway for State Agency Business
The North Carolina Information Highway (NCIH) is a great tool for NC State
Agencies to use to conduct business more efficiently and effectively. The
network is conducive to holding statewide meetings, providing statewide training
and reducing unnecessary travel. This document is an outline of how to coordinate
one or more NCIH videoconferences. Should you require further assistance

or call (919) 754-6000. State Agencies that are interested in coordinating
one or more videoconferences on the NCIH should follow these basic steps.
- Identify
several different dates and times that are possibilities for the videoconference(s)
- Identify
the various regions/cities of the state which must be represented
- Identify
an "originating" NCIH site by referring to the NCIH Video Sites and
Scheduling Contacts document on the NCIH
home page. This will be the NCIH site where the moderator, or host,
of the videoconference will most likely attend (i.e. main speaker, professor,
group leader, etc.).
- Contact
the prospective "originating" NCIH site to inquire about availability and
request that time in their NCIH room be reserved on the desired date(s).
Other issues to discuss include availability of a site facilitator, videoconference
requirements (i.e. VCR taping, Powerpoint presentation, whiteboard, etc.),
accommodation logistics for the expected number of participants, any associated
costs, parking requirements, directions, etc.
- Identify
the prospective "receive" NCIH site(s) for the videoconference by referring
to the NCIH Video Sites
and Scheduling Contacts document on the NCIH home page. Contact the prospective
"receive" NCIH site(s) to inquire about availability and request that time
in their NCIH room be reserved on the desired date(s). Other issues to discuss
include availability of a site facilitator, videoconference requirements
(i.e. VCR taping, Powerpoint presentation, whiteboard, etc.), accommodation
logistics for the expected number of participants, any associated costs,
parking requirements, directions, etc.
After a comprehensive
list of participating NCIH sites has been confirmed request that the "originating"
NCIH site's scheduling contact submit the official conference request via
the NCIH Interactive Web Scheduler. (ALL modifications or cancellations
made after this step must be communicated to the originating site's scheduling
contact and must be submitted via the NCIH Interactive Web Scheduler)
